Conversation Sequence - Setup a Plan (manual)

Prerequisites:


  1. Click on and select Action Plans Manager.
  2. Click on +Action Plan.
  3. Enter desired Plan Name and click Create Action Plan.
  4. To assign your first standalone action click on the green + button (in the top left of the window).
  5. From the popup menu select the type of action you would like to add:
  • Create Task -this is a to-do task that can be assigned to any use
    NOTE: Our Engage AI will schedule Email, SMS, Picture and Voicemail drops to be sent between 9am-8pm in compliance with FCC regulations. The first item of every day will be sent at 9am. Setting ""Hours/Minutes After Last Nudge"" for the first item will delay it that amount after 9pm.
    • Task Description -limited to 250 characters
      NOTE: following fields are in relation to the last scheduled nudge in this sequence.  If all are left at zero message or task will be set as due immediately upon registration
    • Days After Assignment -number represents days past since plans assignment
    • Hours After Last Assignment -number represents hours
    • Minutes After Last Assignment - number represents minutes
    • Notification Level
    • Guideline -a flexible completion date
    • Deadline -a non-movable end date.  Missing the deadline will notify all users who are following the associated lead.
    • Priority -three level priority assignment for your record (none/flagged/red flagged)
    • Assigned User -Select this Leads Owner or chose a Specific user from the dropdown menu
    • Click Save & Close to apply the task
    • Repeat the procedure to add another task or continue reading for other types of actions.
  • Send SMS -schedule a text message to a lead
    • Nudge Name -limited to 250 characters
      NOTE: following fields are in relation to the last scheduled nudge in this sequence.If all are left at zero message or task will be set as due immediately upon registration
    • Days After Assignment -number represents days past since plans assignment
    • Hours After Last Assignment -number represents hours
    • Minutes After Last Assignment - number represents minutes
    • SMS Message -Click the Select SMS Template Message to choose one of your premade templates.
    • Message Body -Alternatively, if this is a plan specific message you can just enter it here
    • Click Save & Close to apply the task
    • Repeat the procedure to add another SMS message or continue reading for other types of actions.
  • Send Email -schedule an email message to a lead
    • Nudge Name -limited to 250 characters
      NOTE: following fields are in relation to the last scheduled nudge in this sequence.If all are left at zero message or task will be set as due immediately upon registration
    • Days After Assignment - number represents days past since plans assignment
    • Hours After Last Assignment -number represents hours
    • Minutes After Last Assignment - number represents minutes
    • Email Message -Click the Select Email Template Message to choose one of your premade templates.
    • Message Body -Alternatively, if this is a plan specific message you can just enter it here
    • Click Save & Close to apply the task
    • Repeat the procedure to add another email message or continue reading for other types of actions.
  • Drop Ringless Voicemail -schedule a ringless voicemail drop.
    • Nudge Name -limited to 250 characters
      NOTE: following fields are in relation to the last scheduled nudge in this sequence.If all are left at zero message or task will be set as due immediately upon registration
    • Days After Assignment -number represents days past since plans assignment
    • Hours After Last Assignment -number represents hours
    • Minutes After Last Assignment - number represents minutes
    • Your Recorded Voicemails -Click the Select a Voicemail Recording field to select one of your previously recorded messages.
    • Voicemail Preview -one the message is selected you will be able to playback here
    • Alternatively, you can record a new message.Confirm your number in the My Number field, and text in the New Voicemail File Name field. Then click the Call Me button. The system will call you to record the message. Once recorded, the VM file will be visible in the Your Recorded Voicemails dropdown field above.
    • Click Save & Close to apply the task
    • Repeat the procedure to add another ringless voicemail or continue reading for other types of actions.
  • Send Picture (aka MMS) -schedule to send a picture
    • Nudge Name -limited to 250 characters
      NOTE: following fields are in relation to the last scheduled nudge in this sequence.If all are left at zero message or task will be set as due immediately upon registration
    • Days After Assignment -number represents days past since plans assignment
    • Hours After Last Assignment -number represents hours
    • Minutes After Last Assignment - number represents minutes
    • Image to Send -Click the SELECT AN IMAGE
    • Choose one of the tabs
      My Files -only images uploaded to My Files will be visible here
      My Listings -this will select the main image of one of your listings
    • Click Save & Close to apply the task
    • Repeat the procedure to add another email message or continue reading for other types of actions.
    • Repeat the procedure to add another MMS.
    • Every time you successfully add an action to the plan, your plan will be automatically saved.

Additionally

By clicking the green + ; you can assign a Dependent Action to any existing action in the sequence. See description below.

Dependent Actions 

All action types can be standalone or have a depend action attached that is awaiting its completion. In the pictured example FB Move-Up Buyer Hotlist VM -D0-1 voicemail is set to be sent out upon plan assignment. Only upon its successful completion will the FB Move-Up Buyer Hotlist  SMS -D0-1 text message be sent. Also, the email message, FB Move-Up Buyer Hotlist Email -D0-1, is dependent on the successful completion of the voicemail and will be sent 10 minutes after its successful delivery.
Each dependent action can in return have its own dependent action(s) that will also complete only when its parent actions are successfully completed.
You can have up to 20 dependent actions connected to one standalone action.
