EngageCE - Creating Voicemails and SMS Templates

We're on a mission to get you in touch with more of your leads and have better, more meaningful conversations with your leads.

When you login to your SuccessWebsite dashboard, you will see some new tools under the Engage CRM drop down menu.

Step 1: Set Up Virtual Number

  1.  Login to your SuccessWebsite command center and click on the top menu Settings -> Engage
  2. Provide your personal mobile or office number and pick a local number from the list by selecting your area code

Once you have picked a number, we can move on towards creating a series of actions (such as ringless voicemails, text messages and emails).

Step 2: Record Ringless Voicemails

These can be delivered to the leads as they register and beyond. For the purpose of this training, we will create 3 individual voice messages.  

  1. Again, click on top menu Settings -> Voicemail.
  2. Now, you can input a desired number from which you would like the system to call you and hit call me.
  3. Once the system dials, follow instructions and record your first voicemail.  

You can introduce yourself in this initial voicemail. Don't worry about delivering a perfect script, just sound natural.

Hi, this is [name], from xyz realty, calling you in regards to the list of homes that you requested from Facebook. I would be happy to discuss this further with you to make sure you're getting everything you have requested. Please call me when you have a minute.

4. Title the recording that will shortly appear on the screen as €œ€‹Voicemail 1-Immediate€‹€� (this will be the first nudge a new lead will receive after registration).

5. Now, record the second voicemail following the same steps.  On this recording, you can call leads to an immediate action such as:

Hi, this is [name] again. I am available to talk now if you are. Give me a call at. Thanks!

6. Title as Voicemail 2- Day 0 2nd (dropped six hours after the last action on the same day)

7. On the last voicemail, we will call the leads to an imminent action such as€¦

Hi, this is [name]. Just calling to let you know that I am showing some of the properties you had shown interest in. Please call me if you'd like to set an appointment for viewing. Thanks!

8. Title the final voicemail as€‹ €œVoicemail 3- Day 1 Evening€�€‹.


Step 3: Create SMS Templates

  1.  Click on Engage ->Templates -> SMS Templates
  2. Click on the button in the top right corner titled + SMS Template. Once the pop up window appears, name the template something like SMS Immediate and enter the following message below:
Hey, just called you and went straight to voicemail. Give me a call. Thanks. 
(the above text will be dropped 5 minutes after the first voicemail)

      3. For the second template, title as SMS-Day 0 2nd (dropped five minutes after the second voicemail). Here we can type in:  
Hi again, following up about XYZ property. Call me when you have a minute. Thanks!
      
      4. Title the third template as SMS-Day 1 Noon (the next day at noon) and type in: 
Hi, I still have info about the xxx homes. What is the best time to talk?

      5. Finally, title the last template as SMS-Day 1 Evening and type in:
Hi, ###PROSPECT_FIRSTNAME### forgot to mention that if you are not interested in the xxx homes, I have an exclusive list of properties you may like. Some are not available on the internet.
